Lines of Business (Video)

The following is a transcript of the video guide:

This video guide is going to walk through the lines of business that we have within the KPA Flex system. If you already know what a line of business is, or you already know how you would use that within the system, you may not need this tutorial. But if that’s a foreign concept or you wouldn’t know how it would apply to KPA Flex, then definitely keep watching.
I’m going to start out on my homepage of the KPA Flex website and I’ve already signed in.

I’m going to start out by going to the control panel over here on the left, and I can see this because I’m an admin.
Within the system, and then I can scroll down and I can see there’s a Lines of Business option right here within the control panel.
I’ll click on that and this shows me, within my demo site, what lines of business I have set up already.
I have three.

I have flowback, poly pipe, and water transfer.
To start out with I’ll show you what it looks like to edit one of these.
If I click Edit, there’s really not much to it, there’s a name of the line of business and then there’s a code.
This code could just be the name of the line of business, it could be a number, or it could be an acronym, or abbreviation of the line of business, but this would be useful whenever you are working, if you’re loading a lot of data to the website you would use this code to refer to this line of business.

That way you could change the name whenever you wanted but that code would always stay the same.
We’ll go back to our list of lines of business.
We could show you what it looks like to add one.
It’s easy, you would just type in whatever the line of business was right here and then you would type in the code for that line of business.

It’s going to automatically be converted to uppercase.
If you’re just going to load a few into the system that would be a good way to do it, just through the website one by one.
You could just add four, five real quickly right there.
If you’re going to load a lot into the system you may check out our data load module that lets you load that type of data into the system using a spreadsheet.

If you have 10, or 20, or 50 then that would certainly be a much faster way for you to load it into the system.
I’m going to click on the Data Loads and I’ll show you a glimpse of what that looks like, but we also have a data load video guide that goes through the full data load process and doesn’t go so quickly through this and shows you exactly how it works.
I’m going to go into the Help section of that data load section and then I’m going to go down to the line of business.
It starts out by telling you, , what a line of business is.

Basically, typically a line of business is a internal business unit for your company.
Depending on your company you would probably have it grouped or sectioned out by different business units, is a good phrase to describe that.
Then whenever you were to load them in with a spreadsheet, your spreadsheet would basically need to look exactly like this right here.
You would have one row for the headings and then you’d have a row for each of the lines of business that you wanted to add.

You would have this data in there, so you would have the name of the line of business and then the code listed to the right.
It’s pretty simple.
You can also see a breakdown of those columns right there and you could download an example spreadsheet.
That’d be a good starting point for you to change the data to whatever you needed it to be.

That’s what it looks like to edit, and view, and manipulate those lines of business within the system.
But another question is how are these things used within the KPA Flex application?
If I go to an employee profile, right now I went to mine, I can see there’s a line of business section right here.
I could actually go in and I could change that.

I could assign myself, or another employee if I’m an admin.
To a specific line of business.
Then, whenever you go to the employee search page you could actually search for employees within a certain line of business.
I could look for all the employees within water transfer and hit search, and it’s going to show me those employees only.

That’s one way it’s used in the system.
Each employee could be, if you wanted to assign them to a line of business.
Also, some of the reports may use a line of business.
Basically, the reports that are built into the system, or the reports that you complete, or that you built from scratch, you have an option to add a line of business selector, like we have right here.

Whenever they’re filling out maybe a near miss report, or an audit that you make, or whatever it is, you have them select a line of business.
Then later, whenever you’re actually going in to do some analysis of those responses that have been coming in, you could say, you know I’d like to see all of the, maybe, water transfer near misses that are critical severity.
That’s another way to using the system to let you break down those reports by a line of business.
A third way that it’s used within the system is for the trainings.

You could make a training required for a group of people if they were within a certain line of business on their employee profile.
A good example would be, these are trainings that we have in our demo system, but I have a flowback training that needs to be done every six months.
Well, if I go into edit that training I can see that it’s not required for everybody, it’s only required for people who have a line of business of flowback.
Basically, for all the employees that have, again, flowbacks as their line of business within their employee profile, they would see that that training needed to be completed.

If it wasn’t it would create an open task where they, we need to make sure they go in and complete it.
Those are some of the ways that the lines of business are used throughout KPA Flex.
